This policy explains which personal data Intelicondos collects, what it is used for, who it is shared with and what your rights are, in accordance with the Brazilian General Data Protection Law (Law 13,709/2018, LGPD). It applies to the intelicondos.com.br website and to the Intelicondos platform.
Intelicondos is a condominium controllership service: it receives a building's financial documents, computes indicators and produces an opinion report for the manager. For data submitted through the website (contact form) and for platform sign-up data, Intelicondos is the controller. For condominium documents uploaded by a customer to the platform, Intelicondos acts as a processor on the customer's behalf (see section 6).
On the website, through the contact form: name, e-mail, phone/WhatsApp, name of the building or management company, whether you manage one or several buildings and, depending on the answer, the number of units or of buildings. Submission only happens with your express consent, ticked on the form itself.
On the platform, at sign-up: e-mail (used for login by link), name, phone, building data (name, tax ID, address, number of units, plan) and the link between your account and the building.
While using the platform: the documents you upload (financial statements, bank statements, meeting minutes, contracts, budgets, bylaws, delinquency reports), the data extracted from them and the reports generated, plus technical access logs needed for security (date, time and action performed).
Contact form data: to answer your request, present a proposal and send a sample report. Sign-up data: to create and maintain your account, authenticate access and send service notices (sign-up approval, report available). Building documents: to produce the contracted indicators and report, keep the history of analyses and allow a delivered report to be reproduced exactly as delivered. Technical logs: to protect accounts and the service and investigate incidents.
We do not use your data for advertising and do not sell it to third parties.
Contact form: consent (LGPD art. 7, I), which may be withdrawn at any time. Sign-up and use of the platform: performance of a contract or of preliminary procedures at the data subject's request (art. 7, V). Technical security and fraud-prevention logs: legitimate interest (art. 7, IX) and compliance with legal obligations (art. 7, II). Service notices: performance of a contract.
We use infrastructure providers that process data on our behalf and under contract, only for the purposes above: application hosting (Vercel), database (Neon), document storage (Cloudflare R2), transactional e-mail (Resend) and automated document processing by artificial-intelligence models (Anthropic), used to extract information from documents and to write the report text from figures computed by our own engine. None of these providers may use the data for their own purposes.
These providers may store or process data outside Brazil, mainly in the United States. When that happens, the international transfer relies on contractual clauses and on the safeguards provided for in LGPD art. 33.
We may also share data when required by law, court order or a competent authority.
Documents uploaded to the platform may contain personal data of third parties, such as delinquent unit owners, suppliers and employees. In those cases the customer who uploads the document (manager or management company) is the controller of that data and is responsible for having a legal basis for processing it; Intelicondos acts as a processor, handling the data only to produce the contracted analysis and according to the customer's instructions.
Reports display such data in aggregate form whenever possible. Access to each building is restricted to the accounts linked to it.
Contact form data: for as long as the commercial contact lasts or until you request deletion. Sign-up data and building documents: while the account is active. Delivered reports and the documents that support them are preserved while the contractual relationship exists, because a report must remain verifiable and reproducible; when the contract ends, data is deleted or anonymised within 12 months, unless a legal obligation requires longer retention. Technical access logs: up to 6 months, as required by the Brazilian Internet Framework Law.
We adopt technical and organisational measures to protect data: platform access by login link sent to your e-mail, isolation of each building's data in the database, encrypted communication (HTTPS), role-based access control, logging of administrative actions and internal access restricted to the minimum necessary. No system is fully immune to incidents; should a security incident with relevant risk to data subjects occur, we will notify those affected and the National Data Protection Authority as required by law.
The public website uses no tracking cookies or analytics tools. The platform uses only strictly necessary cookies to keep your session after login; they are not used for advertising nor shared with third parties.
At any time you may confirm whether we process your data, access it, correct it, request anonymisation, blocking or deletion, request portability, learn who we share it with, withdraw consent and object to processing based on legitimate interest (LGPD art. 18). To exercise these rights, use the contact in section 12. We will reply within 15 days. You may also file a complaint with the National Data Protection Authority (ANPD).
If you are a unit owner, supplier or employee of a customer building and your data appears in a document uploaded to the platform, the request should be addressed to the building or management company in charge; we will support the customer in handling it.
We may update this policy to reflect changes in the service or in legislation. The date of the last update appears at the top of the page. Relevant changes will be communicated by e-mail to users registered on the platform.
